Here is the fastest way to export Zendesk Guide articles in multiple formats using Help Center Manager by Swifteq.
Zendesk’s UI doesn’t provide a one-click bulk export of articles to CSV/DOCX/PDF/HTML, admins typically resort to APIs or third-party tools, so this workflow fills that gap.
When You’d Export Articles
- Audit content, track writing progress, or create tasks in Excel/Sheets.
- Collaborate in Word/Google Docs.
- Share a polished PDF manual with customers (offline reading).
- Back up article content as HTML.
- Feed a chatbot or content pipeline that doesn’t integrate directly with Zendesk.
Help Center Manager supports all of these via built-in export options.
Before you start
- Access: Admin/agent access to your Zendesk instance and permission to authorize apps.
- Tool: Help Center Manager installed or available via the Zendesk Marketplace.
Step-by-step: Export articles with Help Center Manager
-
Connect your Zendesk help center Open Help Center Manager and authorize access to your Zendesk Guide. (You’ll do this once; the app uses Zendesk’s API securely.)
-
Filter to the exact articles you need Use filters such as Category, Section, and Language; combine them to narrow the list precisely (e.g., “Product > Getting Started” in English only).

-
Select one or many articles From the Articles list, select individual items or use bulk selection for a larger set.
-
Click “Export” and choose your format Pick from CSV, HTML, Word (DOCX), or PDF – each tailored to a common use case (see next section).

-
Choose single file vs. separate files
- Single combined file (good for quick reviews).
- Separate files per article (ideal for sharing or printing one-by-one). Recent updates make per-article exports available for PDF, Word, and HTML.
-
Receive the download link by email Help Center Manager generates the export and emails you a secure link. Open it and download your files.
Which Format Should You Choose?
| Format | Best for | Notes |
| CSV | Audits, task tracking, metadata analysis in Excel/Sheets | Optionally include full article content; great for content ops dashboards. |
| Word (DOCX) | Collaboration in Word/Google Docs | Export as one file or separate files per article for distributed editing. |
| Customer-facing manuals, offline reading | Produces clean, professional PDFs; supports separate files per article. | |
| HTML | Backups, developer handoffs, chatbot ingestion | Export a combined HTML file or separate HTML files by article. |
Tips & Tricks
-
Why not export directly from Zendesk? Zendesk provides account-level data exports (tickets/users/orgs) and APIs for Guide, but not a native UI to bulk export articles to CSV/DOCX/PDF/HTML. Tools like Help Center Manager (and Swifteq’s free Help Center Export app for CSV) bridge this gap.
-
Need only a quick CSV audit? Swifteq also offers a free Help Center Export app to email you a CSV with article data and broken links—handy for light audits.
-
Broken links and media checks Help Center Manager can detect broken links/images during your export/audit workflow, keeping your knowledge base clean.
Now you’ve got full control over your Zendesk content exports without wrestling with APIs.
